The purpose of the meeting must be clear. Do not hold meetings that can be held or not. Meetings are costly, and meetings that have to solve problems can only be held. Participants must be clear about why they participated in this meeting, what are the topics of the meeting, and what role their participation needs to play. However, some temporary meetings are often held by people, which are often a waste of time and inefficient. The preparation for the meeting often determines the efficiency and effectiveness of the meeting, and we must find a way to prepare well before the meeting.

Suggest: 

1. The action plan must also be determined, that is, what you do not do, you must determine what you do.

2. An effective meeting is recommended not to exceed 30 minutes, and the longest is 40 minutes.

Why is it so short? Two reasons

  • The first reason is that the people who come to the meeting are basically in important positions. The longer they open, the higher the cost of the company.
  • The second reason is that the problem-solving meeting has nothing to do with the length of time, but has to do with the preliminary preparations. The better the preparation, the more efficient the meeting, so the daily meeting must be short.

Time has a cost, and controlling time is controlling cost. The preparation of the meeting determines an important factor for the efficiency of the meeting. The meeting organizer must prepare the relevant participants in advance before the meeting, and at the same time clarify the meeting rules and emphasize the interests of the participants, so as to increase the enthusiasm and attitude of the participants Attention.

Suggestion: The core of the meeting is mainly to discuss the plan of action, not to discuss opinions or issues.

Suggestion: If you discuss without making a decision, you often fail to proceed with the meeting, often digress, argue and stick to your own opinions, I am afraid that you will not be able to make effective decisions.

The conclusion is closely related to the action items in the meeting minutes. The absence of action items means that after the meeting, relevant people are not required to advance to solve the problems mentioned in the meeting. Therefore, the deliverables, time, person in charge, and inspector need to be specified in the action item. Minutes of the meeting are made public, and follow-ups in the action items are reminded regularly.
