When we use many applications, such as Slack, Outlook, Microsoft Teams, etc., we find that using @ to refer to someone is a very common operation. You can refer to a certain person or group, but if you are a user, not Teams admin, and I want to manage a specific group chat by myself in the group mentioned in the Microsoft Teams Channel or New Chat. How to achieve this?

Solution: Microsoft Teams released the Tags function. You can categorize people based on roles, projects, skills, areas, etc., and then add members to specific tags. Then you can mention the tags when you chat in a group. In order to quickly notify everyone of them without having to @each person’s name.

Description:

  • Private Channel does not yet support Tags
  • A Team can have up to 100 Tags, up to 100 Teams Members can be assigned a Tag, and a single user can have up to 25 Tags

Who can add tags?

Make sure that the Microsoft Teams admin has enabled Let custom tags be created in Teams Center Admin->Org-wide Settings->Teams Settings, and then the Teams Owner will choose who can add tags in the specific Teams settings.

Use Tags

Select the target Teams, expand more options, select Manage Tags, as shown below:

If Teams does not have any tags available, you can create new tags according to your needs, as shown in the figure below:

Note: You can only assign the tags you create to members of the team, not to anyone in the organization.

Using Tags Scenario 1: In the Channel, @ this tags, everyone who is assigned this Tag will receive a notification, as if they were individually @.
